Privacy Policy

Pattern-AI-Q is an AI automation agency trading in South Africa and serving clients internationally. We are not yet a registered legal entity. Contact: hello@pattern-ai-q.com

Usage statistics. We use Google Analytics 4 to count visits and see which pages are useful (pages viewed, approximate location, device type, how you arrived). It sets first-party cookies. Google Analytics does not log or store IP addresses, and we do not use it to identify you or for advertising. You can block it with your browser's privacy settings or Google's opt-out add-on.

Operations Audit request. If you submit our qualification form, we collect your contact details, company, role, team size, country, workflow needs, budget range, timing and contact preference. The website sends these through our n8n workflow to our Notion CRM so we can assess fit and respond to your enquiry. Your answers are not sent to an AI model by this form. Choose email or WhatsApp for our response. Optional tips and offers have a separate, unchecked opt-in; requesting an audit does not subscribe you. You can ask us to stop or delete your enquiry by contacting support@pattern-ai-q.com.

WhatsApp buttons open WhatsApp. Once you initiate a WhatsApp conversation, your data is handled by Meta Platforms under their own privacy policy. We have no control over how Meta stores or processes that data.

When you become a client, we may process the following on your behalf:

• Lead contact details (names, phone numbers, emails)
• Meeting transcripts via Fireflies.ai
• Calendar and booking data
• Business performance metrics you share with us

This data is stored in Supabase (EU servers) and processed through n8n automation workflows hosted on a private server. It is used solely to deliver the services agreed in your client contract and is never sold or shared with third parties.

The Protection of Personal Information Act (POPIA) gives South African data subjects the right to:

• Know what personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information
• Object to the processing of your information

To exercise any of these rights, email support@pattern-ai-q.com with the subject line “Data Request”. We will respond within 7 business days.

We retain client data for the duration of the active contract plus 12 months. After that period, data is permanently deleted from all systems unless a longer retention period is required by law.

Our systems use the following third-party processors:

• Supabase — database storage (EU region)
• Fireflies.ai — meeting transcription
• n8n — workflow automation (private VPS)
• Notion — website enquiries and prospect CRM
• WhatsApp (Meta) — client communication
• Vercel — website hosting

Each of these services has its own privacy policy and data processing terms.

We apply the following controls to protect data:

• Row-level security on all database tables
• Server-side firewall (UFW) with restricted port access
• HTTPS enforced across all services
• Access limited to authorised personnel only

We may update this policy as our services evolve. The effective date at the top of this page will always reflect the latest version. Continued use of our services after an update constitutes acceptance of the revised policy.
